Job Description

Primary: The Volunteer Coordinator recruits volunteers, supervises and provides direction, coordination, and consultation for all volunteers and volunteers programs within the organization to: Strengthen various programs, Involve a community of supporters as described in the duties outlined below.

Secondary: The Volunteer Coordinator is responsible for scheduling meetings for continued community outreach between the Executive Director and potential supporters. The position coordinates all aspects of the Volunteer department while working in an unstructured environment with numerous interruptions throughout the day.

Qualifications and Education Requirements

Public relations and nonprofit sector and/or fundraising experience. Exceptional verbal and written communication skills. Strong organizational skills and the ability to handle multiple projects, with high attention to detail. Experience producing business content for social media, including Facebook, Twitter, Instagram, and YouTube. Ability to work events that may require some evenings and weekends. This position requires a Bachelor’s Degree or three to five years of related experience in the industry.

Preferred Skills

A self-starter, design and Photoshop skills, ability to work cross-functionally with a diverse range of partners, peers & volunteers, proficiency in photography, a good sense of humor and positive attitude are a must. Experience filming and editing video a plus, Experience using MailChimp and WordPress.

Job purpose:

This is an ideal position for a person with excellent project management skills who is interested in growing his or her career in a highly collaborative organization. Key responsibilities include producing a wide variety of communications, including but not limited to flyers, social media, photos, and videos. Support the community with special events along with coordinating our own special events. You will also work with the Development Director to track and analyze key marketing metrics and help build strategies to grow F.F.F.C.’s audience and their engagement. You will work closely with the Development Director and Executive Director to engage, manage and grow our volunteer program, including increase of volunteer attendance, implementation and advancement of VolunteerHub.com, and volunteer recognition program. Managing all of this work is a big responsibility, and you must be confident and ready to take it on while being open to feedback on how to improve. Key responsibilities and accountability:

  • Organizes, coordinates and manages the recruitment of volunteers for our various programs.
  • Works with social, civic and local organizations to develop partnerships, where appropriate, to develop and /or utilize volunteers.
  • Develops and implements training programs for all volunteers.
  • Technical capability to maintain updated records on all volunteers on Volunteer Hub daily
  • Sets up and attends volunteer meetings. Reports to staff on volunteer activities as needed.
  • Recommends and develops ongoing volunteer utilization.
  • Develops and implements a volunteer recognition program.

  • Support all staff, volunteer, and community service workers in carrying out all day-to-day activities required in running the facility and all programs
  • Maintains volunteers by recruiting, selecting, orienting, and training volunteers.

  • Contributes to team effort by accomplishing related results as needed.

Volunteer/Client service

  • Ensure positive volunteer/client service in all areas. Respond to complaints, taking any and all appropriate actions.


  • Provide direction to volunteers regarding operational and procedural issues.
  • Conduct orientation, explain the Flagstaff Family Food Center mission, and oversee the training of new volunteers.
  • Develop volunteers by providing ongoing feedback, establishing expectations and by conducting volunteers’ reviews.
  • Maintain an accurate and up-to-date plan of program volunteer needs. Review schedules and ensure that the programs are staffed for all shifts.


  • Keeps Development Director promptly and fully informed of all issues (i.e. problems, unusual matters of significance and positive events) and takes prompt corrective action where necessary or suggests alternative courses of action.
  • Completes job responsibilities and performance objectives in a timely and effective manner and in accordance with Flagstaff Family Food Center policies and procedures.
  • Maintains a favorable working relationship with all company employees to foster and promote a cooperative and harmonious working climate which will be conducive to maximum employee morale, productivity and efficiency/effectiveness.
  • At all times provides a favorable image of Flagstaff Family Food Center to promote its “Feeding Mind Body Heart” philosophy.
  • Performs other duties and responsibilities as required or requested.


  • Hours may vary (typical work week = 40 hours).
  • Ability to perform all functions at the administrative level, including delivery when needed.
  • Position requires prolonged standing, bending, stooping, twisting, and lifting products and supplies weighing 45 pounds, and repetitive hand and wrist motion. (Mainly when setting up or events)
  • Work with hot, cold, and hazardous equipment as well as operates phones, computers, fax machines, copiers, and other office equipment.

Job Types: Full-time, Part-time

Pay: $28,000.00 – $35,000.00 per year
