Nature of Work

Under supervision performs general office or secretarial work of moderate difficulty; performs related work as assigned.

Note: This is a part time, 19 hours per week.

Typical Duties

  • Receive, sort, file and retrieve forms, correspondence and documents
  • Proofread, format, edit, and distributes reports
  • Send professional reminders to volunteers regarding upcoming reports and court dates
  • Update, check and complete records, forms and documents
  • Process documents to update and maintain files and records
  • Research records and disburse information
  • Process and distribute confidential documents
  • Establish and maintain complex filing systems
  • May perform data entry
  • May record and document proceedings
  • May orient and train other clerical staff
  • May coordinate calendars, schedules, meetings, training and travel arrangements
  • May maintain account records, cash control, accounts receivable and accounts payable
  • May assist other agencies and the public with information forms and other department resources and explaining procedures
  • May answer incoming phone calls
  • May order, receive and distribute office and program supplies

Essential functions of this position include but are not limited to: sitting, walking, standing, crouching, stooping, kneeling, reaching, bending and crawling for filing; working with and around others; dealing with interruptions; repetitive motion (hand/wrist/elbow/ shoulder) for computer work, filing, copying etc.; vision acuity (near) for computer work and reading documents; hearing and speech for ordinary conversation; finger dexterity and touch for typing.

 Minimum Qualifications

Two years’ experience in clerical work; OR, any equivalent combination of education, training and experience which demonstrates the ability to perform the duties of the position.

Preferred qualifications include: demonstrated knowledge of CASA program; familiarity with dependency and court proceedings; experience preparing court reports or other legal paperwork;
experience proofreading and editing; experience preparing and managing legal case files.

This position is non-exempt from overtime.
This position is safety sensitive.

• Working knowledge of:
– Clerical and administrative procedures and systems such as filing and record keeping
– Office practices and procedures
– Microsoft Office, standard computer applications and office equipment
– Rules and procedures of assigned department, including state and federal law

• Exemplary skill in:
– Business English, grammar, and spelling
– Proofreading and editing documents for professional review/in a professional environment
– Planning and organizing office processes and case-flow management

• Ability to:
– Type accurately
– Work independently and in a team environment
– Prepare and maintain complex records and reports
– Work safely and support the culture of workplace safety
– Establish and maintain effective working relationships with employees, other agencies and the public
– Follow written and verbal instructions
– Communicate effectively verbally and in writing
